The contract lifecycle

You think you make quotes and invoices. In reality, you administer contracts.

A job isn't a stack of documents. It's a single contract, that starts before the quote and only closes once you're paid. Five phases, one story. Market software tools two of them; the rest, you carry in your head, and that's where it costs you.

Definition

An administered contract is a job held as what it really is: a contract that lives. From the visit to the payment, every phase is tracked as it happens, in one place. The quote isn't the whole of it: it's its first page.

The real object

The document is worth nothing now. The process is.

Making a clean quote, a tidy invoice, used to be work. Today, any tool does it in five minutes, and soon AI will do it alone. What stays rare isn't producing the document, it's holding the contract behind it, end to end.

Your quoting software never lied: it does very well what it's built for. But it stops at the sheet. Yet your money, your reputation and your sleep play out before and after that sheet: at the first visit, on the unforeseen, at handover, the day the client drags out payment.

You don't need one more quoting tool. You need to hold the contract around the quote.

What makes us one of a kind

We hold all five. The market holds two.

Market software walks you from quote to invoice. Two phases out of five. What comes before the quote and after the invoice, they leave out of frame, yet that's where your losses and disputes are born.

At every phase, the same thing serves you twice: it protects you the day things get tense, and it wins you clients the other days. A tradesperson who holds their contract end to end, it shows, and it reassures.

5

Five phases, one file, that builds itself as the job goes. You don't assemble it: you open it the day it counts.

What we get asked

The administered contract, in plain terms.

What is an administered contract?

It's a job held as a contract that lives, not as a stack of documents. From the technical visit to the payment, every phase (pre-contract, engagement, execution, handover, aftermath) is tracked as it happens and gathered in a single file. The quote is only its first page: administering the contract means holding everything that comes before and after.

How is it different from quoting software?

Quoting software produces a document, very well and very fast. Administering a contract means holding the relationship around that document, over its whole life: the visit before, the extra work during, the handover at the end, the unpaid invoice after. The quote stays; it becomes the first page of a file that runs to the payment.

What are the phases of a service contract?

Five: (1) pre-contract (visit, needs assessment, verbal agreement), (2) engagement (the accepted quote is a contract), (3) execution (unforeseen changes, amendments, tracking), (4) handover (end of works, reservations, guarantees), (5) aftermath (payment, and if unpaid, the file). Most tools cover only two, from quote to invoice.

Is it only for construction?

The administered contract applies to any service that unfolds over time. We tool it first for the building trades, where the phases are sharpest and where the file makes the most difference.

Management software shouldn't just help you make quotes. It should hold the contract behind them: the one that wins you the good clients, and protects you from the bad ones.
